Every figure on this page is computed from the inputs entered, by the method stated below it: rooms times tasks times minutes into hours and cost, and rooms times occupancy times usage into units, par and the order. Turndownly publishes no benchmark of its own for a PM cycle, an occupancy or a unit cost, and the defaults are a worked example to replace with your property's figures.

Your numbers

The figures above start from a worked example ($960). Change any input and the answer updates as you type.

This is hotel maintenance software at its smallest: the PM planner works the preventive round from the rooms in the property, the PM tasks each room gets a year, the minutes a task takes, the engineer's loaded hourly cost and the hours the team has on the tools. Rooms times tasks is the tasks a year; tasks times minutes over 60 is the hours a year and over 12 the hours a month; hours times the hourly cost is the labour cost a month and a year; engineers times their hours is the team's capacity, and the round's hours over that capacity is the share it takes. The cycle, the minutes and the cost are the property's own; the worksheet publishes no benchmark and the defaults are a worked example. Free, on the page, no account; the paid plan keeps every asset's PM history and every work order against the property.

The tasks and the hours, from the cycle

120 rooms on a quarterly cycle is 480 PM tasks a year; at 45 minutes a task that is 360 hours a year and 30 hours a month on the worked example. The cycle is the input that moves the answer most: a monthly cycle triples the round, and a brand standard that adds a task per room adds a quarter.

The cost, from the loaded hourly rate

30 hours a month at a $32 loaded hourly cost is $960 a month and $11,520 a year on the worked example. The rate is wages, on-costs and benefits over hours actually worked, which is higher than the hourly wage; the worksheet takes your own figure and states the method beside the answer.

The share of the team, and what it leaves for work orders

Two engineers with 150 hours each on the tools is 300 hours a month, and a 30-hour round is a tenth of it, leaving the rest for work orders and projects on the worked example. A round that takes half the team is the figure that justifies a third engineer or a longer cycle, and the paid plan keeps each month's round and its sign-offs against the property.

Hotel maintenance software: the PM planner: common questions

Is this a free hotel maintenance software worksheet?

Yes: enter the rooms, the PM tasks per room a year, the minutes a task, the loaded hourly cost, the engineers and their hours, and it works the tasks a year, the PM hours and cost a month and a year and the share of the team's hours on the page with no account and no card. Turndownly Pro keeps every asset's PM history and work orders against the property.

What cycle should I enter?

Your own or your brand's: quarterly is 4 tasks per room a year, monthly is 12, and a room with several assets on different cycles is the sum of them. The worksheet publishes no cycle of its own because the manufacturer, the brand standard and the insurer set it, not a website.

What is a loaded hourly cost?

Wages plus on-costs (employer taxes, benefits, insurance, uniforms, tools) divided by the hours actually worked, which is higher than the hourly wage on the payslip. On the worked example it is $32; enter your own figure from the payroll.
